If Billing Lapses

When a workspace locks, what still works (orders, scanning, downloads), what stops, how long data is kept, and unlocking.

Overview

When billing lapses, ThreadReady locks your workspace. The lock is soft: the kiosk stops taking new orders, but your team can still finish the orders customers already placed. Nothing is deleted straight away, and everything comes back the moment you subscribe.

When a workspace locks

  • Your free trial ends and you haven't subscribed.
  • The workspace was created without a free trial (your account already had one) and hasn't subscribed yet.
  • A payment failed and the 7-day grace period ran out (see Failed payments).
  • You cancelled and the paid period you had left has ended.

What still works

  • Orders: the queue and every order's detail page, including moving an order through its statuses and editing customer details. Webhooks are paused: the order's audit trail notes "skipped: workspace locked"
  • Scan and Print labels (the barcode sheet)
  • Stitch file, pattern and preview downloads
  • Settings → Billing, Account and Team

What stops until you subscribe

  • Your kiosk shows customers a "temporarily unavailable, please see staff" screen, so no new orders, saved designs or "send to my phone" links. Customers can still open the proof and receipt links of orders they already placed
  • The dashboard, designs, products, pricing, threads, fonts, analytics and the other settings pages (including kiosk setup and pairing). Owners and admins who open one land on Settings → Billing, which explains the lock once at the top, links to Orders, and has your plan and its Subscribe button right underneath. Members and viewers land on Orders
  • The REST API and API keys

A red banner stays at the top of every page you can still use while the workspace is locked. Owners and admins get a Subscribe (or Update payment) button in it; members see "Ask the owner to subscribe". It can't be dismissed, and it's hidden on Settings → Billing, which already shows the same message.

How long a locked workspace is kept

We keep a locked workspace's orders, designs and settings for 90 days after it locks. Whoever gets your billing emails gets one at 30 days and a final notice at 75 days, each with the date the data will be deleted. If you haven't subscribed by then, the workspace and everything in it is permanently deleted. The final notice always comes at least 15 days before that date. Subscribing at any point before then keeps everything and stops the clock.

Unlocking

Owners and admins click Subscribe (or Update payment) in the red banner or on Settings → Billing. Everything is restored as soon as the payment goes through. Webhooks skipped while the workspace was locked aren't sent later; new events are sent as usual (see Webhooks). Members and viewers can't subscribe; the banner asks them to ask the owner.

To close the workspace instead, the owner can delete it from the bottom of Settings → Billing (see Deleting a workspace).
